Where to Start If You're New
I'm the office administrator at a mid-size manufacturing company. Chemical orders are my responsibility — roughly $80,000 a year spread across 8 vendors, 60 to 80 orders annually. I report to both operations and finance, so I'm equally concerned about specs and budget. In our 2024 vendor consolidation project, I cut our chemical supplier list from 14 to 8.
Mitsubishi Chemical Group products and services cover a large part of that spend. Epoxy resin for production. Specialty polymers for another line. Our R&D shop even uses Mitsubishi Chemical golf shafts in composite material tests. Big portfolio — but you still have to order each item precisely.
This checklist is for anyone who handles chemical purchasing without a chemistry degree. It's the exact sequence I run on every order. Ten steps. Most people skip at least two of them, and those are usually the ones that hit your budget.

Step 1: Get the exact product name in writing
"Buy more epoxy resin" is not an order. Is it bisphenol A epoxy, novolac, or a two-part system with a hardener? The product name on the requester's email tells you which one they actually need.
Insist on it. That email becomes the reference point for ordering, receiving, and the inevitable "that's not what I asked for" conversation.
Checkpoint: You could hand the product name to someone else and they'd order the right thing.
Step 2: Verify the catalog number
A product name gets you most of the way. The catalog number fills the gap. For example, hydrochloric acid 37% from Fisher Scientific — the catalog number tells you whether it's reagent grade or technical grade, and which package size the supplier is actually quoting.
One of our junior staff once searched for "hydrochloric acid 37% fisher price 1 l" instead of Fisher Scientific. Funny in hindsight, but that kind of typo could have produced a very confusing order. I now confirm the supplier name and catalog number in the confirmation email, every time.
Checkpoint: The catalog number matches the product name and the intended use.
Step 3: Clarify the grade before comparing prices
Same formula, different grade. Reagent-grade hydrochloric acid is not the same purchase decision as technical-grade bulk acid. Different price, different packaging, different shipping requirements.
People say "it's just acid" until the wrong grade shows up. So ask your internal requester: is this for analysis, production, or cleaning? The answer changes the entire order.
Checkpoint: The purchase order states the grade, and your requester has confirmed it.
Step 4: Question the package size
Price per liter usually drops when you buy a bigger container. "Usually." But shelf life has a vote. If that epoxy resin expires in six months and you've ordered a two-year supply, the bigger container is just an expensive way to fill the storage room.
I treat package size as a utilization question, not a volume question. Small step, but it's one I see skipped all the time.
Checkpoint: You can actually use that volume before it expires.
Step 5: Ask about hazmat fees, freight, and minimum order quantities before comparing quotes
This is the one that gets people, because it shows up after everyone has already said yes.
Say you get two quotes for the same epoxy resin: $185 per unit and $200 per unit. The $185 looks better — no question. But once hazmat surcharge, freight minimums, and packaging fees land, that "cheap" option might run 30% higher than the alternative. A vendor warned me about hidden fees once. I didn't listen. Now I compare delivered cost only. Basically, if the quote doesn't show the total out-the-door number, I keep asking.

Checkpoint: You know the full delivered cost, not just a unit price.
Step 6: Get the SDS before the product ships
A Safety Data Sheet isn't optional paperwork. It's what your safety officer, maintenance team, and insurer will ask for. If it arrives with the product? Too late already.
Why do I ask for it so early? Because "we'll email it later" gets forgotten. Every time. Get the PDF before delivery and file it somewhere your team can actually find it.
For current SDS requirements, check OSHA's Hazard Communication standard (29 CFR 1910.1200). Verify the current version at osha.gov — it's been updated multiple times over the years.
Checkpoint: The SDS is saved in your records before the shipment arrives.
Step 7: Log the lot number when it arrives
Do this the moment the delivery lands: copy the lot number from the label into the order record. Thirty seconds.
I didn't do it during my first two years in this role. Then a vendor issued a quality alert, and I had to trace which of our orders contained the affected material. Their team found it eventually, but I looked unprepared in front of the quality manager. Worse than expected, honestly.
Checkpoint: Every lot number is recorded within 24 hours of receiving.
Step 8: Confirm the returns and claims policy in advance
A damaged drum or a bad batch will happen eventually. The only question is what the supplier does next. I ask every vendor up front: replacement, credit, or a freight claim? And how long does that take?
I wish I had tracked how much production time we lost waiting for one return to process. What I can say anecdotally: a large organization like the Mitsubishi Chemical Group has different processes in different product divisions. You don't want to learn that process while your line is idle.
Checkpoint: You have the claims contact and process documented in your vendor file.
Step 9: Match the material to the actual application
"Polymer" is a category word. Same with "composite." They mean different things in different conversations. The material in a golf club shaft is not the same product as an industrial lamination resin, even when both come from the same parent company.
I keep the official product pages at mitsubishi-chemical.co.jp saved in our vendor folder. Last checked in early January 2025. When I need to confirm a product family, I open the site and match the datasheet to the application.
There's also a reason searching "mitsubishi chemical iron shafts" returns golf equipment rather than industrial components. Same group, different divisions. The search result looks obvious once you see it, but the exact wording of your order still needs to be right.
One more example: a researcher asked me, "why are RNA polymers much shorter than DNA strands?" Not a procurement question — it's molecular biology. But it stuck with me because "polymer" meant a completely different set of products to them than to our production team. Context is everything.

Step 10: Set a reorder trigger before you run out
The most expensive way to order anything is when the shelf is empty. Panic orders come with rush fees, expedited freight, and zero room to verify specs properly.
I keep a simple spreadsheet. Product, lead time, average usage, and a "reorder when" line. For hazmat items, I add a week of buffer. Not because I'm naturally organized — because I paid for rush shipping once and never wanted to repeat it.
Checkpoint: Your reorder point is written down somewhere another person could find it.
Common Mistakes I Still See (and Have Made)
Mistake 1: Comparing unit prices and calling it a day
People assume a lower quote means the vendor is more efficient. The reality is the quote might just be missing parts. Add shipping, setup, and revision fees, then compare. That $500 quote that turned into $800 after all the extras? The $650 all-inclusive quote was actually cheaper. I do the full math before comparing vendors now. The assumption that the lower quote is cheaper is exactly backwards sometimes.
Mistake 2: Accepting "equivalent" too quickly
Everyone told me to check specifications before approving substitutions. I only believed it after skipping that step once and eating an $800 reorder from the department budget. If a vendor says "it's the same thing," it's your move to verify. Compare spec sheets. Call the technical contact. Don't take the word at face value.
Mistake 3: Under-verifying documentation
A new supplier offered a genuinely great price on a large purchase. What they couldn't offer was a proper invoice. Handwritten receipt only. Finance rejected the expense, and the department absorbed roughly $2,400. I verify invoicing capability before any order now. Not glamorous, but it saves the argument later.
Mistake 4: Skipping the confirmation email
I don't have hard data on how many order errors start with "I thought we said..." My sense after five years of ordering is that about half of them do. The confirmation email is the cheapest mistake-prevention tool you have. Use it.
Where to Start If You're New
Start with three things before anything else: Step 1 — get the exact product name. Step 2 — verify the catalog number. Step 5 — ask about the fees that don't show up in the unit price.
That's about 30 minutes of work, and it avoids the three most expensive headaches I've hit in chemical purchasing. The rest of the checklist can grow from there.
